User Roles, Seats and Billing

Understand user types, permissions and how billing works

Wovex is designed for flexible collaboration, whether you’re managing benefits across one team or an entire organisation. Each person accessing a Wovex Workspace is assigned a role, and your plan determines how these roles are billed.


🔑 Role Types in Wovex

Every person in your Workspace has one of three roles:

Each role is designed to support different responsibilities, from high-level planning to day-to-day delivery or external contribution.


🧾 How Billing Works

Wovex uses a per-seat model, with pricing based on your selected plan (Starter, Advanced, or Enterprise). Only Admin and Standard roles are billed, and guest users are always free.

Key billing details:

  • All users in a Workspace share the same plan (e.g. all users on Starter or all on Advanced).

  • You can have as many Admin or Standard users as needed.

  • Seat charges start only when a user accepts their invitation.

  • Guests do not count towards seat totals.

  • An initial Admin is always required.

🧮 Prorated Billing Example

Seats are billed ahead of the next billing period, and any changes (e.g. adding or removing users) are prorated based on usage.

Example:

  • You start on Starter with 1 Admin at £20/month.

  • Mid-month, you add 2 Standard users.

  • Your next invoice will:

    • Include a full month for the Admin

    • Add prorated charges for the 2 new users from the date they joined

You’re only charged for the days each seat was active.


🔄 Contracts and Scaling

If you're on a monthly, quarterly or annual contract:

  • All contracted seats are billed ahead, based on your billing frequency.

  • You can go beyond your contracted seat number at any time.

  • Any extra seats are billed monthly and prorated from the day they’re added.

Example: If your contract includes 10 Advanced seats annually, and you add 2 more in June, you’ll be billed monthly for the additional seats from the day they were activated.


🧍 Guest Users (Free)

Guest roles are ideal for stakeholders or external collaborators who need to view progress, check reports, or provide light input without editing data.

Guests can:

  • View benefits and reports they’re given access to

  • Read-only access to Maps, Value Agreements and tracking

  • Be mentioned in notes and comments

  • Participate in approvals or feedback (if enabled)

Guests cannot:

  • Create or edit benefits, measures or maps

  • Access admin settings

  • Use AI features or perform data collection

You can invite unlimited Guests on any plan.


👩‍💻 Managing Roles

To change a user's role:

  1. Invite the user to the Workspace again and select the user type that you want them to change to.

You can also remove users here, if they’re Admin or Standard, their seat charge will adjust on your next invoice.
