Managing notes, discussions, decisions and actions in Wovex
Wovex gives you different ways to capture the information that builds up as benefits and initiatives move through a real-world process.
You can record formal notes and decisions against a Value Case, discuss individual benefits or initiatives with colleagues, capture issues and actions alongside tracking data, and add context to Value Agreements, Approvals and Maps.
The key is to record information where it belongs. This keeps the context behind your benefits, measures and decisions alongside the data itself, rather than spread across emails, meeting notes and separate trackers.
Choosing where to record information
The best place depends on what you are recording and how it will be used.
Value Cases for broader notes, tasks, decisions, commitments and meeting notes
Approvals for information relating to a specific review or approval
Workspace items for conversations about individual benefits, measures, initiatives and other items
Tracking Data for notes, issues and actions relating to a particular reporting period or value
Value Agreements for context around expectations and agreed value
Maps for notes that help explain or communicate the story shown on a map
This means you can keep both the data and the context around it as your work progresses.
Record formal activity in a Value Case
A Value Case can act as a central working and governance record for a business case, project, programme, portfolio, business area or another collection of initiatives.
Within a Value Case, you can record:
Notes
Tasks
Decisions
Commitments
Meeting Notes
This gives the team a shared place to record what is happening, what has been agreed, what needs to happen next and who is involved.
Activity Tab shows an overview of all this information.
Add notes
Notes are the simplest way to add formal context to a Value Case. Add a heading and the information you want to record. They include a preview title and a text box.
Notes are timestamped and show who created them, helping you build a history of information over time. You can also edit them when information needs updating.
You can review notes over a particular period, helping you understand what was known or recorded at different points in the Value Case lifecycle.
Allocate tasks
You can create tasks and assign them to people, so follow-up activity sits alongside the Value Case rather than being managed separately.
Record decisions and commitments
Use Decisions and Commitments when you need a clearer record of what has been agreed.
This is particularly useful when a Value Case passes through reviews or governance stages, and you want to retain the reasoning and commitments that sit behind its current position.
Capture meeting notes
Meeting Notes provide another way to retain the context behind a Value Case. Instead of the meeting record becoming disconnected from the work, it can remain alongside the Value Case and its related information.
Capture review information in Approval Tab
Use the Approval Tab in Advanced or Item Workspace views when information relates to a particular item (Benefit or Measure) review or approval rather than the Value Case more generally.
For example, if you are carrying out a benefits review, you can use the relevant Approval to:
update its progress
add notes
record decisions
retain information about the outcome of the review
This creates a structured record of where the review has reached and what was decided.
It also means that review information does not have to be reconstructed later from meeting minutes or emails.
Discuss individual Workspace items
Sometimes you do not need a formal Value Case note or decision. You simply need to discuss a particular benefit, measure, initiative, role or other Workspace item with colleagues.
Comments provide a more informal collaboration layer around individual items.
You can add a comment to an item and view its previous discussions. This keeps the conversation connected to the item being discussed, so people can see the context later.
Watch items and receive notifications
You can watch the items that are important to you.
When somebody adds a new comment or discussion to an item you are watching, Wovex notifies you through the notification bell.
From the notification, you can return to the relevant item, review the discussion, like comments and add your own response.
Over time, this creates a history of discussions and interactions around the item without requiring those conversations to be managed separately.
Add context to Tracking Data
A reported value often needs more explanation than the number alone provides.
Within Tracking Data, you can capture information against individual time periods using:
Notes
Issues
Actions
For example, you might use a Note to record where a value came from, an Issue to flag that a figure needs checking, and an Action to record what needs to happen next.
Because this information sits against the relevant reporting period, somebody reviewing the data later can understand not only the value that was reported, but also the context behind it.
This is particularly useful during data collection and review when teams need to understand questions such as:
Where did this figure come from?
Has it been checked?
Why has it changed?
Is there a problem with the data?
Does somebody need to take action?
Keeping this information with the Tracking Data helps create a more useful evidence trail and reduces reliance on knowledge held outside Wovex.
Add notes to Value Agreements
Value Agreements help establish and review expectations around value.
Notes can be added to provide additional context around what is expected, helping retain information that may be important when the agreement is reviewed later.
This supports a clearer progression from setting expectations and agreeing value through to delivery, evidence and review.
Add context to Maps
Notes can also be added to Maps when additional explanation is useful alongside the visual story.
This can help you provide context around particular parts of a map without trying to include everything within the benefits, initiatives or other mapped items themselves.
You can also create a standalone Note item from the Workspace and use it on a Map.
Standalone Note items are particularly useful when the same managed note needs to be reused in more than one place. For most day-to-day activity, however, it is usually better to record information directly against the Value Case, Approval, Workspace item or Tracking Data it relates to.
Keep information with the work
In a typical benefits process, information can easily become fragmented. The benefit register may be in one place, decisions in meeting minutes, actions in another tracker, discussions in email and explanations for reported figures known only by the person who submitted them.
Wovex allows you to keep this information closer to the work it relates to.
Use the appropriate level depending on what you need to capture:
Value Case → formal activity, decisions, commitments, meetings and tasks
Approvals → review and approval information
Workspace items → discussions and collaboration
Tracking Data → evidence, notes, issues and actions for individual reporting periods
Value Agreements → context around expectations and agreed value
Maps → contextual information that supports the visual story
Using these together helps build a clearer history of what happened, what was agreed, what the evidence showed and what action was taken as value moves from expectation through to delivery.
