Which Reporting Option Suits Your Needs?

Understand when to use Dashboards, Visualisations, Workbooks or BI Reports to make value real

Updated this week

Reporting is a core part of making benefits and value visible in Wovex. Each Wovex reporting tool has been built to help you make value real, whether you are looking for a quick chart, exploring details behind your Tracking Data, producing formal governance reports or modelling multiple years of financial and non-financial benefits.

This guide explains when to use Dashboards, Visualisations, Workbooks or BI Reports, what each option is designed for and the strengths of each approach.

Dashboards

Best for: Regular, formal governance reporting
Plans: Enterprise Plan

Dashboards help you make value real in structured governance. They are designed for monthly or quarterly reviews, formal Monitoring and Evaluation cycles and clear RAG-based summaries that leaders can trust.

Dashboards use the Tracking Data and objects you already have in your Workspace. They give you a repeatable view of performance for each period and provide a snapshot that remains unchanged once calculated.

What Dashboards are for

Use Dashboards when you need:

  • A consistent, repeatable structure for leadership reporting

  • RAG Status for each Measure against its Forecast

  • Trend indicators showing change from one period to the next

  • Thresholds and tolerances that you can define with Advanced Data Management

  • Snapshots you can return to in later meetings

  • Multiple variations of the same report for different groups or regions

  • Clarity for decision-making and assurance reviews

Dashboards are designed for clarity and comparability. They are not intended for exploratory analysis but allow drilling into Tracking Data when you need to see detail during reviews.

Types of Dashboard

Dashboards let you present the same information in different modes:

  • Value Impact Dashboard
Shows movement in benefit measure values between periods and trend arrows with simple quick-start creation.

  • Status Impact Dashboard
Shows whether performance is within tolerance of forecast benefit delivery and how RAG Status and trends compares across Initiatives.

  • Portfolio Impact Dashboard
Summarises Status Dashboards for programmes or portfolios with combined RAG Status and trend indicators.

You can copy a dashboard and switch modes so you can tell different performance stories using the same underlying data.

When Dashboards are ideal

  • Monthly and quarterly governance reviews

  • Highlighting RAG Status and trends

  • Portfolio and programme reporting

  • Monitoring and Evaluation frameworks

  • Standardised reporting across multiple teams

  • Assurance and gateway reviews

Visualisations

Best for: Quick insight and flexible, ad hoc analysis
Plans:
Advanced → Tracked Measure Visualisation and Benefit Visualisation
Enterprise → all Visualisations plus Cost–Benefit (BCR) Visualisation

Visualisations help you make value real instantly. They provide fast, interactive charts and tables without needing to configure a dashboard. They are suitable for any team and any maturity level whenever you want to understand performance or create a quick visual for a discussion.

What Visualisations offer

Visualisations provide:

  • Instant charts and tables using your Tracking Data

  • Easy tailoring of layouts and graphs

  • Filters for time and the six category fields

  • Minimal setup

  • Flexible exploratory views before moving to dashboards or business cases

  • Shareable, lightweight reporting

  • Helpful early-stage insight for teams who are still building out their data

  • Useful drill-down for mature teams who want a quick answer

If you need a chart right now, a deeper look at a single Benefit or insight into an individual Measure, Visualisations are usually the fastest option.

Relationships required

Visualisations work as soon as:

  1. A Benefit to Measure relationship exists

  2. An Initiative to Measure and an Initiative to Benefit relationship exists (created automatically by Start Tracking)

Use Connection Explorer to check or repair missing links with Scan and Fix.

Types of Visualisation

  • Tracked Measure Visualisation
A deep dive into one tracked measure. Perfect for exploring what is driving performance.

  • Benefit Visualisation
Shows all Measures contributing to a Benefit. Useful for performance summaries.

  • Cost–Benefit (BCR) Visualisation (Enterprise)
Calculates the ratio of financial benefits to costs for selected Measures. Supports exclusions and configurable artwork. Does not adjust for time value of money.

When Visualisations are ideal

  • Quick insight without setup

  • Creating charts for slide decks

  • Exploring changes before building a dashboard

  • Understanding contributions to a Benefit

  • Investigating anomalies or unexpected movements

  • Collaborative conversations or informal reviews

Visualisations provide fast answers. Dashboards provide structured governance.

Workbooks

Best for: Multi-year financial modelling, business cases and scenario analysis
Plans: Enterprise Plan

Workbooks help you make value real over time. They bring spreadsheet-like modelling directly into Wovex so you can analyse costs, benefits and value over multiple years with consistent logic and no disconnected spreadsheets.

Workbooks support both financial and non-financial analysis and help teams prepare business cases, explore scenarios and produce long-term value assessments.

What Workbooks offer

Workbooks allow you to:

  • Create spreadsheets (Workbooks) with multiple Worksheets

  • Use Financial Assist to generate complete financial analysis sheets in one minute

  • Model years of costs and benefits

  • Automatically calculate key financial ratios such as ROI, NPV, Payback Period and BCR

  • Build customised Sheets for your own analysis

  • Use Actuals, Forecasts, Baselines or Targets in your modelling

  • Download Worksheets with formatting for sharing

Workbooks can be used alongside Dashboards and BI Reports to give a full picture of value.

Financial Workbooks

Financial Workbooks allow you to automatically generate a full financial analysis Sheet by answering a few setup questions:

  • Select the number of years

  • Choose Costs and Benefits categories

  • Add Tracked Measures to rows

  • Select financial ratios to calculate

  • Adjust discount rate and currency as needed

The resulting sheet includes:

  • Costs

  • Benefits

  • Cashflow

  • Cumulative values

  • Discounted values

  • Key ratios such as ROI, NPV, BCR and Payback Period

You can then copy Sheets to create variations for scenario testing, such as best-case or worse-case.

Scenario analysis

Each Sheet allows:

  • Row-level percentage adjustments

  • Scaling of currency values

  • Individual adjustments for exchange rates

  • Copying of Sheets for scenario variants

This is perfect for business case comparisons.

Custom Workbooks

You can create your own Worksheets with:

  • Any number of rows and columns

  • Manual or calculated values

  • Financial and non-financial measures

  • Headers, blank rows and custom formatting

  • Narrative text for interpretation

  • Custom formulas such as sums, averages, differences or ratios

These are ideal for non-financial modelling and bespoke analyses.

Which Reporting Option Suits Your Needs?

Wovex offers several reporting options to help you make value real from quick visual insights, to structured governance dashboards, to ready-made BI reporting packs.
Each option supports a different job to be done, depending on:

  • The maturity of your data

  • How quickly you need insights

  • Whether the output must be repeatable for governance

  • How much tailoring you want to apply

  • The type of value story you want to tell

Use this guide to understand which reporting tool is right for you today, and what you need in place to get the most out of it.

1. Visualisations — Fast Exploration and Immediate Insight

Visualisations are designed for quick analysis and flexible exploration, without predefined structure.
They help you understand your Tracking Data at any time, from early discovery through mature delivery.

The first two Visualisations are available with Advanced Plans whereas all other reporting is only available with an Enterprise Plan.

Visualisations help you:

  • See real-time charts and tables

  • Analyse one Benefit, Measure or Initiative in depth

  • Select between charts instantly (bar, line, pie, tables)

  • Filter by the six Benefit and Measure categories

  • Explore performance across any time period

What You Need in Place (Prerequisites for Each Reporting Type)

To avoid duplication across articles, these prerequisites summarise what each report type needs based on:

  • Your situation

  • The data you have today

  • How quickly you need results

  • Whether you want repeatability or exploration

Shared essentials (required for all report types)

Every reporting option in Wovex requires two core ingredients:

1. A Benefit ↔ Measure relationship

This tells Wovex which Measures contribute to which Benefits.

2. An Initiative ↔ Benefit ↔ Measure chain

Visualisations and Dashboards depend on this chain being complete.
Start Tracking creates these Initiative relationships automatically.

Dashboards (Status, Portfolio, Value Impact)

Dashboards require:

  • Benefit ↔ Measure relationships

  • Initiative ↔ Benefit and Initiative ↔ Measure relationships

  • Tracking Data for the date ranges you want to compare

  • RAG thresholds (for Dash 1 & 2)

  • Grouped initiatives (if comparing phases or programmes)

  • Clear column ordering

  • Defined Forecast and Baseline values (Value Impact, Status Impact)

Effort level: Medium–High (except Quick Start)

Visualisations

Visualisations require only:

  • Benefit ↔ Measure

  • Initiative ↔ Benefit

  • Initiative ↔ Measure

  • Some Tracking Data

Effort level: Low

BI Reports

BI Templates require:

  • At least one populated Measure

  • Correct relationships

  • Tracking Data for selected date ranges

They do not require:

  • RAG thresholds

  • Initiative grouping

  • Display configuration

Effort level: Low

Summary: How to Choose the Right Report Today

Choose Dashboards when you need structured, repeatable, governance-ready reporting with RAG and trend analysis.

Choose Visualisations when you want fast insight, exploration, or early-stage analysis with minimal setup.

Choose BI Reports when you need templated reporting packs you can produce quickly, without configuration, for regular communication or leadership updates.

All three options work together to help you make value real, whether you’re exploring data, preparing insights or presenting performance.
