Day 1 with Wovex: Set up checklist

A quick guide to help you start strong from day 1 with Wovex.

We have been designing and redesigning our support information for ten years now to make sure that all our customers can hit the ground running with Wovex.🧐 So please use the tips & tricks we've all picked up along the way to help you succeed at speed - more Benefits are on the way!


How did we create this guide?

We reviewed all the common questions and product actions made by our most successful customers and created the following checklist detailing the most impactful steps all our customers took in their first days in Wovex.

πŸ’‘ Treating your setup as a project and dividing it into achievable milestones will help you see progress in a much more achievable way.

The 5 steps featured below will hardly take any time at all, however, your Day 1 will be starting to familiarize yourself with the product, which will take a little longer to become second nature. Setting aside consistent time to do this will compound your efforts and you'll be sharing insights and building your team before you know it πŸš€

Setup step types

βš™οΈ Some of the setup steps you'll read below are technical, like setting your financial year or adding your company logo.

✏️ Most of the steps are collecting information and relating and mapping that data (like bulk entering or creating your Benefits, Measures and Strategic Goals).

🏠 It's always very useful to visit Wovex Home to review the steps there to make sure you have reviewed all the areas that you are likely to need. Wovex Home is our setup checklist inside Wovex. It shows the Workflow and over time will offer more data on your progress.

πŸ‘₯ If you'd like to invite a teammate to Wovex to complete the setup with you, invite them to your Workspace or on your Map.


Remember, all great journeys start with the first step, so take your time and have fun.

Try to think of the next small action that will move you forward to having a systematic way to manage your benefits, then build out from there.

Step 1: Create your benefits map

  1. Get your ideas down for benefits - Add some benefits to the map to see your outcomes in one place. (They will also appear on your workspace.)

  2. Try out our new AI to save you time or the Benefit Packs in our library.

  3. Add some initiatives - show the flow - link projects to deliver benefits on the map.

  4. Add what you'll measure - measures that prove the delivery of all benefits. AI can help you with this too. Right-click on a Benefit on your map >Suggest> Example Measures.

  5. Share the big picture - get buy-in - publish maps and agree on improvements.

Step 2: Develop the information in your Workspace

Critical to Wovex is the Workspace and the Details Screens for each item that you can drill down to. These details screens hold all the information you may want to capture about benefits, Initiatives and Measures. This is your register of all information that is important to tracking benefits.

1. If you already have a list of benefits you can use bulk entry in the Workspace >+New. Select the item type you want to add to Wovex and use the Bulk entry option to add a list using Excel.

2. Try out AI in your Workspace to inspire you to develop a complete set of benefits and measures with our Library of packs or right-click on a Benefit > Suggest.

Step 3: Decide how you want to design your maps

Whether you have made a lot of benefits maps in the past or none Wovex is an intuitive way to tell the stories that you need to about benefits value and what will be necessary and sufficient to deliver them.

If you feel that a visual representation of the flow of value will be useful to get everyone on the same page, then you will want to consider how best to build your maps. Best practice says that you should represent your initiatives contributing to benefits and onward to Strategic Goals .

You are likely to have your own language and style of map that will suit your audience or fit your corporate rules. Administrators with the Clarity Plus advanced Mapping features can do this for you. Once they are set Wovex can reflect your preferred design, (colour and shape) for each item type.

With just a few items on a benefits map, you start seeing the big picture quickly. The right format is the one that will make sense for your organisation and start people to think more about the results of every initiative and know how they can play a part if diving greater benefit.

The right structure will help you to share an overview of your projects for discussion easily. There are many opinions on what style works best, Wovex supports them all.

Step 4: Check your plans

Use the Maps and Workspace to refine and improve your understanding and plans to drive out the maximum return on your investment.

  1. Revisit initiatives are they necessary and sufficient for your benefits?

  2. Revisit benefits are any emerging or missing? (Use Wovex suggest tocheck that you havent missed anything)

  3. Revisit measures are any missing that are achievable and meaningful?

  4. Who owns the benefits?

  5. Who owns the data?

  6. Consider the responsibilities of ownership, sign up and schedule of reviews.

Step 5: Invite your teammates

Whether you're sharing some of these steps, adding your teammates to work with you, or bringing other project teams into the discussion, invite them securely using the invite people link on your Workspace or Map. The more people are involved in the process of defining benefits the greater returns on your investment you will get.

Good luck and keep developing and refining the information you add to Wovex.

Gain clarity on what you expect to achieve and see the results quickly when you are over-acheiving or missing any targets. Ensure that everyone in your organisation has shared goals and clear understanding of what returns you will get from every project and investment of any kind.
